Skin scan: sharing with our clinical team

Version: scan-share-v1.0 · Last updated: 7 October 2026

Share my scan results, goals, comment and any AI overview with the Refined clinical team. I can stop sharing and delete this any time.

We show this separate unticked choice when you share a scan, request help or book a consultation. With your agreement, authorised clinical reviewers can see your concern readings, rings, broad area levels, goals, optional comment and any written AI overview. The share can be linked to your consultation booking intent or help request so our team can understand why you shared it. A booking or help request alone grants no permission.

Sharing results does not share the photo. Only a second optional photo choice does that. Reception, other non-clinical staff and Hermes cannot access any of these scan details. Every clinical view is logged. The team uses your scan only to support a conversation about your care; suitability is always assessed in a consultation. We do not use it for marketing, ranking or advertising.

You can use Stop sharing in Profile > Privacy and data or delete the shared record at any time. Stop sharing ends access in both our current and older scan systems. We remove clinical access immediately and schedule deletion of any separately shared photo. Files already opened cannot be recalled, and a photo link already issued can work for up to 60 seconds. Shared records and photos expire after at most 12 months, or sooner under the clinic’s retention setting. Erasing your account removes them too. A practitioner’s consultation note in Pabau is a separate clinical record with its own retention rules.

We rely on consent under Article 6(1)(a) and explicit consent under Article 9(2)(a). Our privacy notice explains your rights.
